Refund & Cancelation Policy

1. Purpose

At Believe Performing Arts Camp, we work hard to deliver quality performing arts experiences—camps, workshops, shows, and merchandise. Because we incur costs ahead of time (venue rental, teacher/staff payments, materials, etc.), we need a clear policy on when refunds are possible. This policy aims to be fair to participants, supporters, and the organization.

2. Scope

This policy applies to:

  • Registration fees for all camps, intensives (overnight or day), after-school programs, workshops, special events, and ticketed shows (“Programs”)

  • Purchases of merchandise through Believe (apparel, accessories, etc.)​

3. Definitions
Term & Meaning

 

  • Registrant / Customer - A Person who registers for a Program or purchases merchandise. If the participant is a child, the registrant is usually the parent/guardian.

​

  • Program - Any camp, workshop, event, performance, class, or similar offering by Believe Performing Arts Camp.
     

  • Merchandise - Goods for sale (shirts, hats, equipment, etc.), excluding Programs.


4. Refunds for Program Registrations
Situation > Refund Available > Conditions / Notes

  • Cancellation by Believe - Full refund (100%) or credit toward another program. - If we cancel a camp, workshop, or event, registrants are informed as soon as possible. You may choose a refund or credit.

  • Withdrawal by Registrant before Registration Deadline - Partial refund/credit. - If the registrant withdraws before a published deadline (for example, 14 days before the start of the Program), we will refund [e.g., 80%] of the fee, withholding a small processing fee. Alternatively, credit toward another program may be offered.

  • Withdrawal by Registrant after Registration Deadline but before Program start - Limited refund/credit. - If withdrawal happens after the deadline but before the start, registrants may receive a smaller refund [for example, 50%] or credit, depending on how close to the start date and on incurred costs.

  • Withdrawal by Registrant after Program has begun/no-show - No refund. - Once a Program has started (or in the case of no communication/no-show), no refunds will be given. Credit may be considered in extraordinary circumstances (medical emergency, etc.), with documentation.

  • Transfer of Registration - Possible - Registrant may transfer registration to another person or to a future session, provided notice is given [e.g., 7 days] before start, and subject to availability. A small administrative fee may apply.


5. Refunds for Merchandise Purchases
Situation > Refund Available > Conditions / Notes

  • Defective or Damaged Merchandise - Full refund or replacement. - If goods are defective or damaged at delivery, the registrant must notify Believe within [e.g., 7 days], provide photos or other proof; we will replace the item or refund the purchase price plus shipping.

  • Wrong Item Delivered / Order Error by Believe - Full refund or correct replacement. - Same as above; Believe will cover return shipping if necessary.

  • Customer Change of Mind - Limited refund. - If you simply change your mind, merchandise may be returned within [e.g., 14 days] of delivery in unused, resalable condition, at your expense for return shipping. A restocking fee may apply. After that period, no refund.

  • Sale / Clearance Items - No refund or exchange unless defective. - Items marked “final sale” or “clearance” are non-refundable unless there is a defect.


6. How to Request a Refund / Credit

  1. Contact Believe by email: info@believecamp.com or phone, stating your name, order/registration number, Program name or merchandise item, and reason for request.

  2. For merchandise, include photos or other evidence if the item is defective or wrong.

  3. Believe will review the request and attempt to respond within [e.g., 5 business days].

  4. If approved, refunds will be issued via the original payment method or credit toward future Programs, depending on the situation and registrant preference.

7. Fees & Deductions

  • Registration processing and administrative fees are non-refundable.

  • If a refund is issued after certain services have already been provided (for example, materials ordered or staff contracted), Believe reserves the right to deduct reasonable costs.

  • If the registrant opts for credit instead of a refund, no deduction beyond the administrative fee.

8. Special / Force Majeure Circumstances

  • If Believe must cancel or significantly modify a Program due to unforeseen circumstances beyond its control (e.g., extreme weather, health emergencies, venue issues, legal restrictions), registrants will be offered a full refund or credit.

  • Believe is not responsible for any additional costs incurred by registrants (travel, lodging, etc.).

9. Refund / Credit Expiration

  • Credit toward future Programs is valid for [e.g., one year] from the date of issuance unless otherwise specified.

  • Unused credits after expiration may be forfeited unless otherwise agreed in writing.

10. Changes to this Policy

Believe Performing Arts Camp may change this Refund Policy from time to time. Any changes will be posted on believecamp.com. For registrations and purchases made before a change, the terms in effect at the time of purchase or registration apply.

11. Acknowledgment

By completing a registration for a Program or purchasing merchandise from Believe Performing Arts Camp, you acknowledge that you have read, understood, and agree to be bound by this Refund & Cancellation Policy.
